This Privacy Policy explains how YATSON LLC, doing business as YATSON HVAC (“YATSON HVAC,” “we,” “us,” or “our”), collects, uses, and shares information when you use yatsonhvac.com (the “Site”) or contact us. By using the Site or submitting a request, you agree to this Policy.

1. Information we collect

• Information you give us: your name, phone number, email address, service address or borough, and details about your request (service type, system type, timeframe, and a description of the problem), plus any photos you upload.
• Communications: records of your calls, text messages, and emails with us, and your messaging-consent status.
• Information collected automatically: limited technical data such as your IP address, browser type, and pages viewed, to keep the Site secure and working. We use Google Analytics to understand how visitors use the Site (pages viewed, form-step interactions); it sets analytics cookies, and we enable IP anonymization. We do not use advertising cookies.

2. How we use your information

We use your information to:

• respond to your request and contact you;
• prepare estimates, and schedule and perform service;
• provide a preliminary assessment of uploaded photos (see Section 3);
• keep service, warranty, and business records;
• improve and secure the Site; and
• meet our legal, tax, and regulatory obligations.

3. Photos and automated (AI) processing

When you upload photos, the photos and the details you provide are sent to our team for handling and may also be processed by third-party AI services (currently a large-language-model service accessed through OpenRouter, which may use Google’s Gemini models) to generate a preliminary, informational assessment. These providers process the data to deliver the service to us; a final assessment always requires a technician. Please do not upload photos that reveal other people’s personal information.

4. Text messages (SMS)

If you provide your phone number and opt in, we may text you about your request and appointments. Message frequency varies; message and data rates may apply. You can opt out at any time by replying STOP, or reply HELP for help.

We do not sell your personal information, and we do not share your mobile phone number or your SMS/text-messaging consent with third parties or affiliates for their own marketing purposes.

5. Calls

Phone calls with us may be monitored or recorded for quality and record-keeping, and used to schedule and document your service.

6. How we share information

We do not sell your personal information. We share it only:

• with service providers that operate the Site and our tools under our instructions — for example, Cloudflare (website hosting and delivery), Telegram (secure internal delivery of your request to our team), and the AI service described in Section 3;
• with equipment suppliers, subcontractors, or utility/rebate programs as needed to fulfil your request (only what is necessary);
• with professional advisors (such as accountants or lawyers) when needed; and
• when required by law, or to protect our rights, safety, or property.

7. Where your information is processed

We are based in the United States, and our service providers may process and store information in the United States.

8. Retention and security

We keep information for as long as reasonably necessary for the purposes above — including service, warranty, tax, and legal-compliance needs — and then delete or de-identify it. We use reasonable safeguards to protect information, but no method of transmission or storage is completely secure.

9. Your choices and rights

You may ask us to access, correct, or delete your information, or to stop non-essential communications; you can stop text messages at any time by replying STOP. Residents of New York and certain other states may have additional rights under applicable law. We will respond to reasonable requests as required by law. Some information may be retained where the law allows or requires it.

10. Children’s privacy

The Site is intended for adults. We do not knowingly collect personal information from children under 13 (or under the age of consent where you live). If you believe a child has provided us information, please contact us and we will delete it.

11. Changes to this Policy

We may update this Policy from time to time. Changes take effect when posted, and the “last updated” date above will change.
